A 600-seat awards gala in Houston

A regional builders association needed individual seats for 600 guests across 60 tables, company names on sponsor tables, and a way for every guest to find their chair from the confirmation email. We drew the ballroom from their plan, fitted all 600 chairs to the drawing, and gave the event team a one-person console to seat, move and print.

Questions

Everything organizers ask us

What do you need from us to start?

The venue floor plan (PDF, CAD or a clear photo), your event date, and your guest or exhibitor list if you already have one. Table names and sponsor names can be added any time.

How long does setup take?

A new room usually takes a few working days, including one review round. A repeat event in a room we've already mapped can be ready the same day.

Do guests need to download an app or create an account?

No. The link or QR code opens in the phone's normal browser and goes straight to their seat.

Can guests see who else is at their table?

No. A guest's link shows their own name, table and seat. The public map shows tables and which seats are taken, never other guests' names or contact details.

Where does our guest list live, and who can see it?

On our own server, behind the organizer's password. Contact details and notes are never sent to the public map. You can export or delete your data at any time.

Can we import from our CRM or registration system?

Yes, by spreadsheet (CSV) from any system today, with a preview that flags problems before anything changes. Direct connections, for example to GrowthZone, are scoped per system.

What happens with last-minute changes on event day?

Move or swap a guest and every personal link updates instantly. Printed PDFs are a snapshot, so reprint only the pages that changed.

What can we print?

Personal seat maps with QR codes (one guest, a whole table or everyone), a table-by-table roster for the registration desk, and an entrance poster with a QR code for the full map.

What if the venue Wi-Fi is bad?

The guest map is light, about the size of one photo, and loads on a weak phone signal. We also recommend a printed roster at the desk as a backup.

Can we use our own web address?

Yes. Your map can live at your own address, such as seating.yourorganization.org, with a single DNS record added by your IT team.

Can the map run a raffle or show winners on screen?

Yes, as an add-on: a big-screen winner draw built on the same map, using the stable guest and seat records.
